How much does event staff cost?

Event staff is quoted as an hourly or day rate with a minimum call-out, and the final number is then shaped by six things: the role, the length and timing of the shift, the languages required, travel and accommodation, whether a supervisor is included, and who supplies uniform and materials. Two quotes for “a hostess for a day” can differ widely and both be honest, because they are pricing different jobs.

We do not publish a rate card, for a reason explained at the bottom of this page. What follows is how to read any quote you receive, including ours.

What are you actually paying for in an event staffing rate?

A staffing rate is not a wage. It carries the wage, the employer costs on top of it, the agency’s recruitment and scheduling work, insurance, and the cost of having a replacement available when someone falls ill at six in the morning.

That last item is most of the difference between a cheap quote and a reliable one. An agency that prices in cover can send a replacement. An agency that has priced to the bone cannot, and the risk quietly moves to you on the one morning you cannot absorb it.

In the Netherlands, Belgium and Germany the wage floor itself is set by statute and is revised periodically, so any rate quoted to you sits above a legal minimum that moves. Treat a rate that looks impossibly low as a question to ask rather than a bargain to accept.

Which role are you booking?

Role is the single biggest driver, because the roles need different training and carry different liability.

  • Hostess or event host. Guest handling and hospitality. See what is a hostess.
  • Exhibition staff. Stand hosts, lead capture and product demonstration.
  • Promotional staff. Field activation and sampling.
  • Stewards. Crowd facing work at scale.
  • Stagehands and technicians. Physical build and technical crew, usually the highest rates because of certification and risk.
  • Forklift and telehandler operators. Licensed roles, priced accordingly.

Booking a technician when you needed a host, or the reverse, is the most expensive mistake in this list.

How do shift length and timing change the price?

Most agencies work to a minimum call-out, so a three hour job and a five hour job can cost the same. If your activation is short, check where that minimum sits before you design the schedule, because stretching a shift to fill the minimum is sometimes free.

Timing matters as much as length. Evenings, nights, weekends and public holidays carry surcharges in most markets, and a build that starts at 05:00 is priced differently from one starting at 09:00. Overtime is the item that most often turns a good quote into a bad invoice: if your strike regularly overruns, ask how overtime is calculated before you sign, not afterwards.

What do travel, languages and supervision add?

Travel and accommodation apply the moment the job is outside the pool’s home city, and during a major fair week the local pool is drained and accommodation is at its most expensive. This is why the same team costs more in a big German fair week than in a quiet month, and why booking late costs more than booking early.

Languages narrow the pool. A team that has to work in German and English at a welcome desk is a smaller group of people than one working in Dutch alone, and the rate reflects that.

Supervision is a line worth paying for once you pass about four people. A team lead who runs the roster, handles breaks and reports at the end of the day removes that work from you. Below four people it is usually unnecessary.

What is usually not in the rate?

Check each of these explicitly, because they are the common sources of an unexpected invoice:

  • Uniform and branded clothing, and who keeps it afterwards.
  • Briefing time, whether it is charged and whether it happens at all.
  • Travel, parking and accommodation.
  • Overtime, and the rate it is charged at.
  • Cancellation terms and the notice window.
  • Replacement policy if someone does not arrive.
  • VAT, and for cross border work, which country’s VAT applies.

How do you reduce the cost without reducing the quality?

Book earlier, especially against a known fair calendar. Book the same people across multiple days, because a team that already knows your product on day two does more with the same hours. Be precise about what the role actually is, so you are not paying technician rates for hospitality work. Consolidate suppliers where the work genuinely overlaps: when the stand build, the technical kit and the crew come from one contract, you stop paying for the coordination between three companies.

What does not work is shaving the roster until there is no break cover. An unmanned welcome desk at lunchtime costs more in missed visitors than the hours you saved.

Frequently asked questions

Why will you not publish a price list?

Because a single number would be wrong for almost everyone reading it. The same role changes price with country, week, shift timing, language and team size. We would rather give you an accurate quote against a real brief than an attractive figure you cannot rely on.

What do you need from me to give a quote?

City and venue, dates, daily start and finish times, the role, how many people, the languages required, and whether uniform is supplied. That is usually enough for a firm number.

Is it cheaper to hire freelancers directly?

The headline rate is usually lower. What you take on in exchange is recruitment, screening, scheduling, briefing, replacement on the day, and the compliance and liability questions that come with engaging people directly. For one person for one day that can make sense. For a team across several days it rarely does.

Do you charge for the briefing?

Briefing time is chargeable, and it is the part of the budget that most improves the result. A team that arrives already knowing your product and your guest journey is the difference between a staffed stand and a working one.

Does one supplier for build and crew actually save money?

It saves the coordination cost and the delay cost, which are real but do not appear as a line on anyone’s quote. The saving shows up as a build that does not slip, rather than as a discount.
